Online Bookings or Hotel Reservation Form

Individual participants can book their hotel accommodation online:

Individual participants can book their hotel room via Internet or send an e-mail to ifla2011accom@congrex.com. If you have already booked a room online for IFLA 2010 in Gothenburg you can login with your e-mail address and password. You do not need to enter your address information again. A global deposit of USD 200 is required to guarantee your room reservation. Please forward a copy of your bank transfer or settle with your credit card. Each participant will receive a confirmation/invoice. Hotel reservations without payment within two weeks after confirmation sent by Congrex Travel, cannot be accepted. Final payment has to be made before June 5th 2011 to Congrex Travel. Please don’t send any payments to the hotel.

Alternatively, participants can complete and return the hotel reservation form to Congrex Travel by fax (+44 141 280 0330) or email.

Booking Policy

All requests will be handled on a “first come first served basis”. Hotel bookings will be guaranteed until 5 June 2011. On or after this deadline, requests will be accepted however, hotel accommodation is subject to availability and cannot be guaranteed anymore. Also, after this deadline, bookings are only possible against full payment by credit card and an additional late booking fee of USD 45 will be charged for reservations received after 7 July 2011.

Change, Cancellation and Refund Policy

Any change of reservations made online by the delegate themselves, is free of charge. Any change of reservations sent to Congrex Travel via e-mail, will be subject to an administration fee of USD 15. Please do not contact the hotel directly.

Online changes are possible until 5 June 2011. After this date, changes can only be communicated to Congrex Travel directly and a change fee of USD 15 will be applied. If your reservation is cancelled before 5 June 2011, the deposit will be refunded, less a USD 45 administration fee. If your reservation is cancelled on or after this date no refunds can be made.

Group Bookings

For requests of more than 5 rooms, different conditions apply and a group contract will be set up. Please contact Congrex Travel for more information via email, ifla2011accom@congrex.com. Kindly note that the group bookings are being offered to various companies simultaneously and are sold on a first come first serve basis. Early reservation is highly recommended to ensure your needs can be met. Having received your written confirmation with your postal address, we will establish a room allocation contract together with an invoice for the first deposit.

Accommodation Payment Information

Advance payment can be made in USD by any of the following ways:

  1. VISA and MasterCard holders may use their credit cards for charging all costs. A secure payment link will be sent to settle the payments.

Alternative Accommodation

Delegates are welcome to book their own accommodation other than the accommodation service offered by Congrex Travel. Additional accommodation suggestions, including bed & breakfasts, hostels, and pensions, will be added to the website in due course.

Hotel Shuttle Service

During the Congress dates of Friday 12 August 2011 to Thursday 18 August 2011, a hotel shuttle service will be available for congress participants, which will run from the official congress hotels (as detailed in this document) to the Puerto Rico Convention Centre each morning and return in the evening. The finalised schedule of this service will be confirmed on the website in due course.
